Business Owners: Four Tips for Getting Rid of Your Landline-Based Phone System

As a business owner, you need to be able to cut expenses, and one option may be eliminating your current landline-based phone system and replacing it with a less expensive alternative. Here are some tips and ideas to help you:

1. Explore VoIP options

VoIP or voice over internet provider is a phone system that runs over the internet rather than through the phone lines. There are numerous VoIP phone systems and services, and you can configure them in a number of ways.

For example, if you opt to use a VoIP, you can connect it to all of your employees' mobile phones -- that saves you money on buying phones as well as paying for phone services.

2. Utilise a call centre to answer and direct calls

One of the benefits of modern phone systems is that you don't have to necessarily answer the phone yourself. Instead, you can opt to have the calls diverted to a call centre.

These constantly staffed facilities can answer your calls and direct the callers to voicemail or employees as requested. Alternatively, you can even work with a call centre where the workers answer some of your clients' customer service questions as well as direct the phone calls.

The entire process is seamless. In reality, someone at a call centre is answering the call, and then, they are dispatching it to your worker's mobile. However, to the client calling, it appears or sounds as if everything is happening in one office.

3. Keep security and privacy in mind

If you decide to use a VoIP and a call centre, you can structure everything so that your employees receive work calls on their mobile phones. This option works fabulously if you have a team of telecommuters, outside salespeople or anyone else who doesn't sit in the same office every day.

However, there are security concerns. What happens if an employee loses their mobile and it has important work information or voice mails on it? To prepare for eventualities like that, you want the ability to wipe all of these phones remotely, and you may also want to use a program that separates each of your employees' phones into two sections -- one for home and one for work.

4. Remember to address the issue of payment

If you decide to have your employees use their mobile phones connected to a VoIP rather than a traditional phone system with landline phones in your office, you need to consider who pays for those phones. If your colleagues are independent contractors, you can let them pay for the phone, and then, they can deduct that expense when they file their taxes.

Alternatively, you could reimburse your employees for the portion of the mobile bill devoted to work-related calls, or you could cover their entire mobile bill as a perk.
